Procedure for
maintaining Consent Board and CofI College Catalog.

Curriculum Council 09-26-06
This procedure for annual revisions to the CofI Catalog will
be distributed by the Dean's Office to Curriculum Council at the beginning of
each Fall Term. Before distribution,
however the Dean's Secretary will:
a. Flag
catalog deadline dates on the Fall Term Meeting Schedule, and b. Change the dates of the last Division,
CC, and FA meetings in
section
8 below.
1. Changes start in
Department and go on the Consent Board (CB) at that time. Catalog language and format should be in
final form at this time.
2. Division for
approval: Secretary needs to mark approval on CB.
3. After Division
approval the Registrar assigns course numbers, when a proposal includes new
courses.
4. CC for
approval: Secretary needs to mark approval on CB
5. FA for approval,
if needed. After each FA, CC secretary needs to mark approval on CB.
6. Secretary of CC is
Catalog Tsar.
7. Tsar collects and
keeps paper copies of all CB items approved and awaiting entry into Catalog
8. Normal Catalog
copy deadline for FA approval is end of Fall term.
Deadlines for
approval are last FA, CC, and Division meetings of Fall term. In 2006 these
dates are:
Division: 16 Nov.
CC: 28 Nov.
FA: 7
(or 12) Dec.
9. In Jan., Tsar
hands off approved and collected catalog copy to Registrar and Tech person.
10. Tech enters new
copy to create new working catalog draft.
11. Registrar checks
for internal consistency
12. Registrar sends
draft copy to Dept. Chairs for approval/correction and to Tsar.
13. Dept. Chairs and
Tsar send approval or corrections to Registrar (possibly including small
grammatical/formatting corrections).
14. Registrar gives
to Tech. penultimate copy.
15. Tsar does final
check of Tech's entry and gives final approval – by end of winter session.
16. Review of final
copy by all faculty to test links, content, format. Report corrections to Registrar and Tsar by
31 March.
17. Registrar cuts CD
of final catalog.
18.
Tsar moves all approved material to CB archives.
Procedures for Committee
Secretaries:
Secretaries of Divisions, CC, and Faculty Assembly should keep clear notes regarding which specific CB proposals are approved. Minutes should be posted in a timely manner, normally within 48 hours of the meeting.
