Work Study

Work Study Important Information

  • Your Work Authorization form will be delivered to your campus mailbox. If you do not have a campus mailbox, pick up your Work Authorization form from the Office of Student Financial Services in Hendren Hall.
  • You cannot begin working until you complete the payroll process with the Human Resources (HR) office located in Sterry Hall, 4th Floor, Rm 402. Hours worked prior to the completion of paper work will not be paid.
  • MAXIMUM NUMBER OF WORK HOURS PER WEEK-20 HOURS. This includes break weeks when classes are not in session.
  • The Center for Experiential Learning provides the following work study postings as a service for students. The dates in the bottom right corner indicate the date of last updating by the requesting department. Students may also inquire with other campus departments. Work study monies can also be used in a community service setting for tutoring or family literacy projects.
  • Timesheets must be completed online daily and approved by the supervisor every month on the 23rd, or the first Monday after the 23rd if it falls on a holiday or weekend. Please pay careful attention to emails regarding timesheets from Brian D. Smith, Business Office, as you may be requested to process them earlier than the 23rd of each month.
  • After you clear Human Resources (HR), you are ready to begin work. Once your supervisor approves your online timesheet, it automatically goes to Payroll.
  • Monitor your earnings carefully. Your award is for the entire academic year. Your award has been divided in half for each term (Fall and Winter/Spring). If you earn more than half of your award in one term, your scholarships may have to be lowered to prevent an over award of funds per term. The current wage is $7.25 per hour. If you are returning to the same position for the second year, your wage will be $7.35 per hour; returning to the same position for the third year, $7.45 per hour; and returning to the same position for the fourth year, $7.55 per hour.
  • Increases to current award amounts cannot be made until late in the academic year (April/May). Students who are on the The College of Idaho work program will most likely not be able to increase their awards for the year.
  • Pay checks will be mailed to your campus post office box (or your local address if you do not have a campus box) on the last working day of each month. Be sure to update your address with the Registrar's Office if you do not have a campus box.

Procedures

  1. If you are looking for a work study position, check the job openings listed below.
  2. If you do not know if you have been awarded work study, contact Merna Davis in the Student Financial Services office in Hendren Hall at mdavis@collegeofidaho.edu or call extension 5380.
  3. Go to the contact person listed in the job description, present your Work Authorization form, and apply for the position.
  4. Have the supervisor complete the Work Authorization form, make a copy for his/ her records, and return the form to you. Note: Your supervisor cannot turn in the Work Study Authorization Form for you.
  5. Please refer to the I-9 List of documents. You must provide the proper I-9 documents in order to complete the work study process. For a list of acceptable documents, please go to the Human Resources folder on the ‘Coyote’ (P) drive. 
  6. Take the completed Work Authorization form and I-9 documents to Human Resources (HR) in Sterry Hall, 4th Floor, Rm 402 between the hours of 9:00 am and Noon or 1:00 and 4:00 p.m. Monday through Friday.  Click here to view a list of acceptable I-9 documents.
  7. Complete I-9 and W-4 forms and Privacy Policy. You can access the online timesheet entry instructions on the ‘Coyote’ (P) drive. You will not be able to access the online web time entry timesheet until you have completed all paperwork with Human Resources.
